Exhibition stand design portfolio: what to send
Send a focused portfolio when an agency wants to review your work. Follow the specified submission process for tenders and stand approval. A book link does not replace required files or confirm permission to build.
No account, no plan picker.
The proof is free. The edition is €29, once.
01 / the selection
Show the work that fits the brief.
Start with the agency’s question: design ability, fabrication experience, or delivery of a comparable stand. Select projects that answer it. A complete company catalogue can obscure the relevant work.
Give each project its client, exhibition, year, footprint, and your exact role. Separate your design contribution from fabrication or installation by others. Credit collaborators and obtain permission before sharing confidential client work.
Pair a finished photograph with a plan or view that explains the layout. Label proposed renders and built photographs distinctly. Show circulation, meeting areas, storage, and signage where they matter to the brief.
- context
- State the exhibition, footprint, brief, and constraints. Identify your contribution and collaborators.
- evidence
- Use legible plans, labelled renders, and permitted photographs. Do not present an unbuilt proposal as delivered work.
- sequence
- Put the closest comparable project first. Keep captions beside the images they explain.
- contact
- End with a clear studio contact and the next step. Leave confidential budgets and client details out.
02 / the required package
A portfolio is not stand approval.
A tender assesses a proposed commission; technical approval assesses the stand you intend to build. Neither is simply a review of previous projects. Check the current brief for drawings, references, quotations, safety documents, file formats, deadlines, and submission channel.
Historical examples make the distinction concrete. Visit Maldives’ WTM London 2025 tender required a detailed stand layout and aerial, front, and side views. It also specified signed or emailed contractor references as evidence of past experience.
Its requirements included commercial and administrative documents, with disqualification consequences for missing specified material. A portfolio link alone would not supply that package. Read the original WTM London 2025 tender as an example, not a current invitation to bid.
IFA’s published instructions for 2026 required stand plans through the eZone, including dimensioned drawings, risk assessment, and method statement. They specified unprotected PDFs and written confirmation before a complex stand counted as approved.
The IFA technical guide now carries a 2027 heading while retaining 2026 instructions. Confirm the applicable edition with the organiser. Do not treat historical dates or requirements as instructions for your event.
These examples do not establish a universal file-size limit or a ban on portfolio links. Supply required files first. Add a review link only where the recipient permits it, and save the official submission or approval confirmation.

03 / the review link
Check the book before sending it.
Export the selected projects as a PDF, with the cover first and captions readable at normal viewing size. Keep the original export separately. Avoid compressing drawings until labels and thin lines disappear.
Upload the PDF to mybook, name the link, and keep the book with your studio email. Open the link on a laptop and phone. Check every spread, orientation, small text, and whether the cover identifies the right work.
Send a short note naming the relevant project and why it fits the brief. Include any requested attachments separately. Ask which submission channel to use when the brief is unclear, rather than assuming a link is accepted.
The proof is free and carries a discreet mybook line after the last spread. Publish the edition for €29 once to remove that line and keep a permanent link. Neither payment nor publication certifies tender compliance or technical approval.
For the general export and sharing process, read our portfolio PDF guide. Competition work has separate rules; see our competition submission guide for anonymity and required-file caveats.
Built and run by AI agents on NanoCorp, mybook hosts the review copy, not the official submission process.
Hand over the work, not a file.
